When you're new to Shopify and searching for help getting your products listed, you'll find a lot of apps. Inventory apps. Import tools. Barcode scanners. Product managers. It's easy to assume they all more or less do the same thing. They don't.
The confusion usually lands when someone downloads an app expecting it to help them build product listings, and then realizes the app expects all the product data to already exist somewhere. it's just what that type of app is designed for.
But if you're starting from physical inventory and a blank Shopify store, it's the wrong tool for where you are.
Here's simple breakdown of the three main categories of Shopify listing and inventory apps, what each one actually does, and who each one is actually for.
The Three Types of Inventory Apps
Three Shopify app categories. Only one starts from a physical product.
Not all Shopify apps do the same thing — here is how they are different.
Inventory apps
e.g. Stocky, Stock Sync
What you need to start
Products already in your Shopify store
What the app does
Counts and tracks your existing stock levels
What you get
Stock counts and low-stock alerts
CSV import apps
e.g. Matrixify, EZ Importer
What you need to start
A completed spreadsheet with all your product data
What the app does
Imports your existing data into Shopify
What you get
Listings populated from your CSV file
Scan2Sell
scan2sell.io
What you need to start
A physical product with a barcode ,nothing else
What the app does
Scan the barcode — title, description, image, category and dimensions are ready to review
What you get
A structured draft listing — add price, images and publish
They count.
They need your data.
Scan. Review. Live.
The simplest way to understand the difference is to ask one question before you download anything: does my product data already exist somewhere, or does it need to come from the physical products in front of me?
If the data already exists, either in your Shopify store or in a spreadsheet, inventory apps and CSV importers can work with it.
If the data doesn't exist yet and you're standing in front of a shelf full of physical products that have never been listed anywhere, you need something that works from the product itself.
Inventory apps: for managing stock you've already listed
Inventory apps like Stocky or Stock Sync are designed for merchants who already have products set up in their Shopify store. Their job is to help you track and manage those existing listings; monitoring stock levels, flagging when items run low, syncing inventory across locations or sales channels, and generating restock reports.
They're genuinely useful tools for what they do, but they have a hard starting requirement: the products have to already be in Shopify. An inventory app has nothing to work from until a listing exists. If you're trying to get products into your store for the first time, this category of app won't help with that job.
Who it's for: established merchants who have an existing Shopify catalog and need to manage stock levels, multi-location inventory, or supplier sync.
CSV Import Apps: powerful, but the data work happens first
CSV import apps like Matrixify or EZ Importer solve a real problem, getting a large volume of product data into Shopify quickly without entering each listing manually through the admin. If you have a well-structured spreadsheet with product titles, descriptions, SKUs, prices, and image links, these tools can push all of that into Shopify in bulk. They handle the formatting complexity that makes raw Shopify CSV imports tedious, and they give you more control over how data maps to Shopify's fields.
The starting point is the spreadsheet, and it needs to be complete. If you're looking at a room full of physical products thinking you'll scan them into a CSV first, you're still doing the full data entry manually before the import even starts.
Who it's for: merchants migrating from another platform, suppliers working from a manufacturer's product feed, or retailers with an existing product database they want to bring into Shopify.
Scan2Sell: for merchants starting from physical inventory
Scan2Sell is a different category of tool entirely. It is not an inventory manager and it is not a data importer. It is built for the moment before any of that, when the product is in your hand and no listing exists yet.
What you need to start
A physical product with a barcode. That is it. No spreadsheet prepared in advance, no existing Shopify catalog to reference. You scan the barcode with your phone camera or a Bluetooth scanner and a structured draft listing is ready to review. Title, description, category, and dimensions are there waiting for you, then select images.
What the app does
Scan2Sell processes the barcode input and a draft listing appears, structured and ready for your review. It also supports photo input for products without barcodes, point your camera at the item and a structured listing is ready from that. For high-volume sessions, CSV upload lets you process a list of barcodes in bulk, so the drafts are waiting for you when your scan session ends.
What you get
A ready-to-review draft listing in your Shopify store. You set your price, add your quantity and product images, make any edits you want, and publish when you're ready. The listing is built for Shopify from the physical product not migrated from somewhere else, not typed out line by line.
The Question that Points you to the Right Tool
Before you download anything, ask yourself one question: where is my product data right now?
If your products are already in Shopify and you need to track and manage stock, an inventory app is the right fit.
If your product data already exists in a spreadsheet or another system and you need to move it into Shopify, a CSV import tool is the right fit.
If your products are sitting in front of you as physical items and no listing exists anywhere yet Scan2Sell is where to start. Scan the barcode, and the draft is there. Add your price and select images, review it, and publish.
Most small retailers, resellers, and new Shopify merchants are in that third situation. The products are real and in-hand. The listings don't exist yet. The goal is getting from physical inventory to a live Shopify store without building a spreadsheet first or spending days on manual data entry.
FAQs
Can I use Scan2Sell alongside an inventory app? Yes, and for most growing retailers that combination makes sense. Use Scan2Sell to build your initial listings from physical inventory, then bring in an inventory app once your catalog exists and you need to manage stock levels across your store. They solve different parts of the same operational picture at different stages.
What if I already have some products in Shopify and I'm just adding new stock? Scan2Sell works on a per-scan basis, so you can use it selectively for new products coming in without affecting anything already in your store. There's no requirement to rebuild your existing catalog it works alongside whatever is already there.
Do CSV import apps work if my spreadsheet has gaps or missing fields? Not reliably. CSV importers need structured, complete data to function properly. Missing fields, inconsistent formatting, or incomplete descriptions will either cause the import to fail or produce listings that need significant fixing inside Shopify afterwards. If your product data isn't already in good shape, you're likely better off starting from the barcode than trying to force a half-built spreadsheet through an import tool.
Can Scan2Sell handle bulk listing for a large initial catalog? Yes. In addition to scanning products one at a time, Scan2Sell supports CSV upload for bulk sessions. You compile a list of barcodes which is a much simpler task than building a full product data spreadsheet and the draft listings are ready to review when the processing is done. This works well for large initial builds, high-volume retail intake, and auction or estate sale workflows.
Once a listing is published through Scan2Sell, can I still edit it in Shopify? Once published to your Shopify store, a listing behaves exactly like any other Shopify product. You can edit it, update the price, adjust inventory, add variants, or run it through any other Shopify tool or app at any point. Scan2Sell handles the starting point everything after that is standard Shopify.
